As the Administrative Manager, you will manage daily office operations in our Lviv office and remotely oversee basic administrative tasks for our Kyiv workspace. Your role will include maintaining office organization, handling communication, managing supplies, coordinating with vendors, and providing general administrative support to ensure an efficient workplace environment.

Responsibilities

  • Coordinate daily operations of the Lviv office to maintain efficiency and organization
  • Provide remote administrative oversight and support for the Kyiv workspace, with occasional travel as needed
  • Manage incoming correspondence, documents, and phone calls, ensuring effective communication across teams
  • Handle office supplies inventory, procurement, and vendor coordination
  • Coordinate facilities management activities, including office maintenance, cleaning, and basic repairs
  • Support budgeting and expense management processes related to office operations
  • Assist with employee onboarding/offboarding procedures (desk setup, equipment, and access coordination)
  • Serve as the main contact point for building management and external service providers
  • Provide logistical support for client visits and internal meetings
  • Work closely and collaboratively with the Travel & Event Manager to align office operations and provide mutual coverage

Qualifications

  • Experience in administrative coordination, office management, or a similar support role
  • Strong organizational and multitasking skills
  • Good communication and basic negotiation skills
  • Attention to detail with proactive problem-solving ability
  • Ability to manage tasks independently and collaborate effectively with team members
  • Proficiency in English (both spoken and written)

    Working Environment:
  • Full-time, office-based position in Lviv
  • Occasional limited travel to Kyiv to support remote office oversight
