Position Overview 

As P&C Operations Lead, you'll lead and coordinate a team of P&C specialists, delivering seamless and compliant operational HR services across the employee lifecycle. This position involves mentoring, managing complex cases, and collaborating across teams and regions to ensure consistency, efficiency, and a top-tier employee experience. 

Responsibilities

Operational Support 

  • Lead and mentor a team of People Operations Specialists, acting as a subject-matter expert and escalation point for complex cases. 
  • Manage end-to-end employee onboarding and offboarding, including medical examinations, mandatory trainings (BHP), PPK submissions, employment contracts, and HR process presentations. 
  • Prepare, maintain, and ensure accuracy of employee documentation and personnel data in line with internal standards and local legal requirements, including administration and updates of B2B contracts. 
  • Ensure accurate payroll inputs and verify payroll prepared by external providers. 
  • Administer employee benefits and HR documentation, including cost updates, coordination with service providers, and invoice verification. 
  • Provide second-level support to employees and internal stakeholders, responding to inquiries professionally and in a timely manner. 
  • Prepare periodic and ad hoc HR reports, including statutory reporting (e.g. GUS), and complete annual HR operational tasks (leave balances, holiday compensations, year-end preparations). 

Employee Relations & Cross-Border Collaboration 

  • Act as a trusted regional advisor for complex People Operations, employee relations, employment practices, and cross-border topics. 
  • Lead or support high-complexity employee relations cases, ensuring appropriate resolution and stakeholder alignment. 
  • Drive employee engagement within the Polish team by organizing and supporting local wellbeing initiatives, engagement activities, and company events. 
  • Collaborate closely with Team Success Managers, Country Manager, and cross-border P&C teams to align and improve people processes. 
  • Participate in global taskforces and People & Culture initiatives, contributing to scalable programs and implementing global processes and tools locally (e.g. HR systems). 
  • Lead initiatives to automate manual HR processes, improve operational efficiency, and standardize employee lifecycle processes across regions. 

Compliance & Knowledge Base 

  • Ensure compliance with Polish labor regulations by maintaining and updating work regulations, remuneration policies, and supporting procedures, templates, and workflows. 
  • Oversee compliance-related matters and ensure fair and timely resolution of disputes. 
  • Manage legal compliance areas including GDPR, whistleblower policy maintenance, coordination of audits, preparation of compliance reports, and cooperation with external legal counsel. 
  • Oversee work authorization and legalization processes for foreign employees and support international mobility initiatives. 
  • Maintain and continuously improve HR documentation, procedures, templates, and checklists to ensure accuracy, consistency, and legal compliance. 

Qualifications

  • A business-oriented People & Culture professional who is hands-on, solution-driven, and empathetic, with a strong focus on both client outcomes and the wellbeing and growth of employees. 
  • Practical, up-to-date knowledge of Polish labor law, including employment, B2B, and mandate contracts. 
  • Flexibility and a proactive mindset, comfortable operating in a dynamic, evolving organization; able to independently organize work, set clear priorities, and support change initiatives. 
  • Experience supporting change management, including communicating changes, guiding stakeholders through transitions, and embedding new processes or tools. 
  • Strong awareness of current HR trends and best practices, with the ability to assess, promote, and implement meaningful and pragmatic initiatives. 
  • Excellent relationship-building and stakeholder management skills, able to collaborate effectively across all organizational levels and with internal and external partners. 
  • A trusted go-to partner with a strong sense of ownership, accountability, and follow-through. 
  • Very good command of English (written and spoken). 

Nice to have: 

  • Experience leading or mentoring a small HR / People Operations team. 
  • Background in IT services, nearshore, or outsourcing environments. 
  • Experience supporting or collaborating on employer branding and employee engagement initiatives.
