Overview

This is a dual role that combines two equally important areas of responsibility: keeping our Helsinki office running smoothly, and providing everyday support that keeps our business teams productive.

Responsibilities

Office Coordination 

  • Ensure the office environment is organized, fully functional, and always welcoming for employees and visitors. 
  • Serve as the first point of contact for all day-to-day office related matters. Take ownership of the office premises, coordinate office operations, supplies, and workplace services 
  • Support our onboarding and offboarding processes, contributing to a smooth experience for every new Nortalist joining and everyone leaving 
  • Plan, organize and execute internal and external events — from team celebrations to client visits and company-wide gatherings. 
  • Handle internal communications related to office guidance and practical matters, keeping colleagues informed and aligned.

Operational Administration & Business Support 

  • Provide administrative and operational support to leadership, project managers, and sales as required from time to time. 
  • Maintain operational documentation, records and internal information repositories, ensuring accuracy, completeness and consistency of the data 
  • Support the daily use of tools such as CRM and Project and Delivery Management solutions, including their reporting functions. 
  • Assist with preparing reports, presentations, operational summaries, and structured information for internal use. 
  • Contribute to improving and developing documentation practices, operational workflows and data quality. 
  • Support participation in tenders and proposals as required from time to time 

Qualifications

  • Completed degree in Business Administration or related studies 
  • Strong interpersonal and communication skills. Fluency in written and spoken both in Finnish and English. 
  • Confidence in using AI tools as part of everyday workflow to work smarter and faster. 
  • Proactive, service-minded with a genuine can-do attitude — you see problems as puzzles to solve, not obstacles to avoid. 
  • Strong organizational skills and the ability to manage multiple tasks in a structured way. 
  • Experience working with Microsoft Office and familiarity with CRM systems, project management tools, or operational systems. 
  • Ability to build positive working relationships with people at all roles and levels in the organization 
  • Ability to work independently while collaborating and coordinating with multiple teams. 

Please note that this is a one year fixed-term position and the role requires on-site work from our Helsinki office.
